Reasons for Data Processing

Contact information is used for sending marketing material, newsletters and other information to customers and other stakeholders.

Data contained in the register and its deletion

The register contains the following types of information:

  • Name of the company
  • Address of the company
  • Person’s first and last name
  • Job title
  • Telephone number
  • Email address

The data will be retained for the time being and will be deleted from the register upon request of the person or his / her organization. If the person’s email address does not work, the customer information is marked as inactive. Inactive customer data is removed from the marketing register annually.

Regular sources of information

Contact information in the register has been obtained and is available from the companies’ own publications and on their websites. In addition, contact information may also be collected and updated from the registers of Suomen Asiakastieto and other similar public and private registers.

Storage, verification and disclosure of information

The contents of the register are stored in a file on our company’s server. The files on the server are behind a firewall and the server is anti-virus protected and only company-defined people can access the file.

Only those employees of the company who have the need and the right to process this information on behalf of their work are authorized to access the information contained in the register and to change customer information. They are bound by a duty of confidentiality. Each user has their own username and password for the system.

Information is disclosed to third parties only as a result of a statutory duty to disclose information, such as a person’s own request or a statutory request from an authority.

A person has the right to verify his / her personal information and to request correction of incorrect information. Requests for disclosure of personal information must be made in writing. The information will be sent in writing once the requester has been identified / verified.
